What Is a Call Center Staffing Calculator?

A call center staffing calculator estimates how many agents must be available during a reporting interval to handle forecast calls and reach a defined service level. This tool applies Erlang C, then adjusts the active-agent requirement for shrinkage to estimate how many people should be scheduled.

Use interval-level demand instead of a daily average. A 30-minute forecast can reveal busy periods that disappear when the full day is averaged together.

How the Staffing Calculation Works

The tool first converts call demand into traffic intensity. One Erlang represents one agent continuously occupied for the complete interval.

Traffic intensity = (calls × average handle time in seconds) ÷ interval length in seconds

It then searches for the smallest whole number of active agents that meets both your service-level target and occupancy ceiling. Finally, shrinkage converts the active requirement into scheduled headcount.

Staff to schedule = ceiling(active agents ÷ (1 − shrinkage rate))

How to Use Each Input

Calls per interval

Enter forecast inbound calls for the chosen 15-, 30-, or 60-minute interval. Use a realistic busy interval when planning peak coverage.

Average handle time

Include talk time, hold time, and after-call work. Excluding wrap-up work understates agent workload.

Service level and answer time

These fields define the response target. For example, 80% and 20 seconds represents an 80/20 target.

Maximum occupancy

Occupancy is the share of active agent time spent handling calls. The ceiling can add agents when a service-only result would create excessive workload.

Shrinkage

Shrinkage covers paid time unavailable for calls, including breaks, meetings, training, coaching, absence, and system issues. Use your measured figure when available.

Important: Calculate each queue or skill group separately when agents cannot handle every contact type. A single pooled result can understate staffing for fragmented teams.

Erlang C Assumptions and Limitations

Erlang C assumes random call arrivals, steady conditions during the interval, one interchangeable agent group, unlimited queue space, and no caller abandonment. Real call centers can differ from these assumptions.

Use the result as a transparent planning baseline. Validate it against abandonment, arrival patterns, schedule adherence, skill routing, and historical service performance before finalizing a roster.
