How the SaaS Cost Is Calculated

Monthly recurring cost = (users × monthly seat price) + fixed platform fee + monthly add-ons
Annual recurring cost = monthly recurring cost × 12 × (1 − annual discount) × (1 + tax)

The first-year estimate adds the setup fee and its applicable tax. The second-year estimate applies projected user growth and excludes the one-time setup fee.

User licenses

Count every paid seat required for employees, contractors, administrators, or customer-facing users. Check whether the vendor charges different prices by role.

Platform fees and add-ons

Include fixed account charges, premium features, storage, API usage, phone numbers, messages, integrations, and support packages that are billed separately.
